Job Title: Legal Administrative Assistant – Intellectual Property (IP) Law

Job Overview:
We are seeking a detail-oriented and organized Legal Administrative Assistant with experience in Intellectual Property (IP) law. The ideal candidate will handle legal documentation, research, client coordination, and case management, ensuring smooth operations within the legal team.
Key Responsibilities:
📌 Case & Document Management:
- Open and conduct conflict checks and ensure timely invoice processing.
- Organize and maintain all correspondence and legal documents in the document management system.
- Ensure legal documents, including Power of Attorney and trademark certificates, are valid and updated on UAE government portals.
📌 Research & Reporting:
- Assist in preparing investigation and raid reports, ensuring accuracy and precise details.
- Conduct IP research on public and private databases to obtain prospective client details.
- Prepare status reports and annual audit reports for clients.
📌 Administrative & Client Coordination:
- Manage emails, calendar appointments, and client contact lists.
- Maintain an organized and secure workstation and filing system.
- Coordinate tasks and case instructions with international associates and internal departments (accounts, litigation, prosecution, etc.).
- Ensure all cases are closely monitored and followed up with authorities and associates until closure.
📌 Support Legal Consultant:
- Handle tasks and responsibilities when the Legal Consultant is on leave or away for meetings/conferences.
- Send reports, case updates, and respond to client queries as needed.
📌 Training & Data Management:
- Maintain and update case summaries, client master lists, active case lists, pending tasks, and invoice records.
- Assist in preparing materials for Intellectual Property training sessions, including presentations and certificates.
Qualifications & Skills:
✔ Experience in legal administration, preferably in Intellectual Property (IP) law.
✔ Strong understanding of legal documentation, research, and compliance.
✔ Proficiency in document management systems and database organization.
✔ Excellent organizational, communication, and multitasking skills.
✔ High level of attention to detail and accuracy.
✔ Ability to work independently and handle confidential information.
✔ Proficient in Microsoft Office (Word, Excel, PowerPoint).
